This memorandum is made between [name of the college], of [address](“the college”), and the SocioStory Foundation (“SocioStory”), on [date].
1. Purpose
- The college hosts a SocioStory Centre: a student-led hub that takes volunteer requests from NGOs through SocioStory and brings the college's students to those drives.
- The Centre is run by student Social Leaders (a Lead, a Deputy and coordinators), with a member of the college's staff as its faculty anchor.
2. What the college does
- Names a faculty anchor, ideally its NSS Programme Officer, who approves hour statements, signs off reports and handovers, and is the Centre's contact for SocioStory.
- Lets students know about the Centre, and gives its Social Leaders reasonable time and space for its work.
- Keeps the Centre's exam and holiday breaks up to date, so requests don't arrive when students are busy.
- Tells SocioStory promptly about any concern for a student's safety or wellbeing connected with a drive.
3. What SocioStory does
- Provides the platform free of charge: requests from NGOs, rosters, attendance, certificates, hour statements and reports.
- Trains Social Leaders, including the safeguarding course every leader must pass, and interviews Leads and Deputies before appointing them.
- Names a campus network manager who supports the Centre and reviews its progress each quarter.
- Keeps records of hours as NGOs record them at each drive, and signs statements and reports so anyone can check them.
4. Students' safety
- Volunteering through the Centre is for students aged 18 or older. Nobody's location is tracked.
- Everyone taking part follows SocioStory's code of conduct and safeguarding policy.
- SocioStory records what happens at drives; it does not certify NGOs' compliance, finances or work, and neither party will say that it does.
5. Personal data
- Each party handles students' personal data in line with the Digital Personal Data Protection Act, 2023, and uses it only for the Centre's work.
- Students choose whether to share their records with the college; they can stop sharing at any time. Class lists shared for invitations are used only to invite those students.
- Neither party sells or shares students' data for marketing.
6. Names and logos
- Each party may name the other as a partner in describing the Centre. Any other use of the other's name or logo needs its written agreement.
7. Money
- No fees are payable either way. Each party bears its own costs.
8. Term and ending
- This memorandum runs for 3 years from the date it is signed, and can be renewed.
- Either party can end it with 30 days' written notice. Records already issued stay valid, and students keep their certificates and statements.
9. Nature of this memorandum
- This is a statement of shared intent. It creates no partnership, agency or employment, and neither party can bind the other.
- Disagreements are settled by talking first; if that fails, by mediation before anything else.
